In regulated manufacturing, this rarely gets solved by replacing everything with a new platform. Full replacement strategies often fail because qualification burden, validation cost, downtime risk, integration complexity, and long asset lifecycles are real constraints. In practice, the better path is usually coexistence:
- Use the ERP or receiving system to control the receipt event and material hold status.
- Use QMS or document control to manage the governed quality record and review workflow.
- Use MES or traveler systems to enforce that uncertified material cannot be issued or consumed where that control is needed.
- Use integration or a controlled document service to maintain the certificate link across systems.
That approach is less elegant than a greenfield design, but it is often more realistic and less risky in validated environments.

- Certificates arrive by email after material is stocked.
- One PDF covers multiple lots, but the internal system records only one link.
- Supplier part numbers and internal part numbers are not mapped cleanly.
- Outside processing certificates are stored against the supplier, but not tied back to the specific work order or serialized parts.
- Shared-drive copies drift from the controlled version.
- Receiving accepts unreadable, incomplete, or wrong-format documents under schedule pressure.
- Required metadata is optional, so users bypass it.
- There is no automated hold, so production consumes material before review is complete.
What to measure
If you want this under control, measure it. Useful metrics include:
- receipts missing required certificates
- receipts with certificate mismatch exceptions
- time from receipt to certificate availability
- time from exception creation to closure
- certificate retrieval success rate by lot or work order
- repeat supplier certificate defects
If those metrics are not visible, the process is probably more manual and fragile than leadership believes.
